KMC Dictation Instructions

1.       Dial 395-8077 if you are outside the hospital phone system; dial just 58077 if you are on campus.  You will hear a series of prompts.
2.       Enter your ID number , press #; enter work type, press #; enter the subject number, which is a combination of the hospital ID and medical record number, press #.   If you do not know the medical record number, enter 222222.
3.       Press “2” to record.  If you activate any of the keypad functions below, you must press “2” to re-enter the recording mode.
4.       To dictate more than one report, press “8” after each report.  Prompts will instruct you to enter work type number and subject number for each report.

KEYPAD INSTRUCTIONS

1      HOLD - Press “1” to place your dictation on hold for up to 15 minutes.  Press “2” to remove hold status.
2      RECORD/STOP - Press “2” to begin recording;   press “2” to stop recording.
3      REVIEW - Press “3” to review the last 3 seconds of your dictation.  After reviewing, press “2” to re-enter recording mode.
44    FORWARD TO END - Press “44” to skip to the last dictated work.
5      DISCONNECT - Press “5” to leave the system.  Always press “5” before hanging up.    After  pressing “5”, your dictation will be assigned a number.  It is advisable that you make a note of this number in case you should need to reference it later.
77     Rewind to Start - Press “77” to go back to the beginning of your dictation for review.
8      END JOB - Press “8” if you want to end dictation of one report and start another.  Prompts will instruct you to enter your work type number and subject number for the new report.
·         DELETE - Press “*” to clear an incorrect identification number

AUDIBLE TONES

Busy Tone:  Lines are busy, try again later.

Single Beep Every 3 Seconds:  (Idle Tone)  You are in pause mode and not recording.  Press “2” to re-enter recording mode and begin dictation.

Continuous Tone:  You are in  the recording mode.  The tone will stop when you start speaking and return when you stop speaking.

Three Beeps:  You are in hold mode.  Press “2” to remove hold status and re-enter recording mode.

Loud, Rapidly Pulsating Tone:  Disconnect warning.   Press “2” to resume.

Loud, Alternating High/Low Tone:  Error tone.  Press “*” to clear error and then follow the prompted instructions.  If this doesn’t remove the error status, disconnect  (press 5) and start again.
